Our Terms and Conditions

All orders are accepted upon these terms

1. Contract
All orders are only accepted on the terms and conditions contained herein unless these terms are varied in writing/email by an authorised officer of Qualitair Cooling Ltd and will be stated on your invoice.


2. Orders
The contract to supply is between us, the supplier, and you, the customer, private individual or Company placing the order. The supplier reserves the right to refuse to accept the Purchasers order. No order is valid until the Company issues an email acknowledgement and/or no order will proceed without full payment made up front unless arranged otherwise.


3. Prices's
All prices are valid for a period of 30 days on all quotes. Where delivery cannot be affected within this period the Company reserves the right to vary its prices. Prices shown on the Company website may be subject to alteration or withdrawal without notice. Alterations and additions by the customer will incur extra costs and a possible time delay for completion of the work.


4. Errors and Omissions
Any errors contained in the Company’s price list, website, acknowledgement or invoice shall be rectified by the Company when discovered, and notified to the Buyer. Buyer and Company shall have the option to settle any outstanding amounts or cancel the order.


5. Payments
When the Purchaser is paying by credit card, payment can be taken over the telephone but there is a 3% service charge. Otherwise full payment is preferable by bank transfer on order placement. Goods supplied to other companies must be paid for immediately with order, no order will be supplied until full payment received. The contract to deliver starts after cleared payment so any delivery dates will increase starting on the payment date. We do not accept cheques. Late or missed payments for hired goods will incur a £25 +VAT late fee for each occurrence. Invoices are only sent by email to the address you supply us, further copies may be charged at an admin fee of £25 +VAT.


If we agree credit terms then full payment is due as per our payment terms without exception, you agree we reserve the right to charge interest at 3% above Bank of England base rate on any overdue balance. If our work cannot be completed on the day arranged due to other contractors on site or the site not being ready, a stage payment of at least 25% must be made to us without delay plus there will be a £300 + VAT ‘return to site’ charge


6. Title
Ownership of the goods supplied remains with the supplier until paid for in full by the Buyer. Rented equipment will always belong to Qualitair Cooling Ltd unless all terms have been met and a purchase price agreed and paid. No exceptions. We will recover equipment if payments not made.


7. Delivery
The delivery date agreed upon when order is placed, whether verbal or in writing, shall be regarded as an estimate. The goods shall be deemed to be delivered when deposited at the address designated by the Buyer. It is the Buyers responsibility to ensure they have sufficient staff and equipment to safely take receipt of the goods from the Carrier. If our delivery is postponed by the customer, you are accepting that it would have been delivered by that date and that is the date that starts the cooling off period of 14 days. (Except limited companies) There is no cooling off period on business to business transactions or for bespoke items.


8. Returns
Goods supplied against a firm order may not be returned without the Purchaser applying for, and receiving, the consent of the Company. The Company reserves the right to charge an administration fee on all returns along with a restocking figure of 15%. If goods are ordered in especially for you, the full trade price of the goods may be non-refundable. Equipment already installed by us cannot be returned. Equipment returned to us for credit or refund must be in the condition it was supplied in. Appropriate packaging must be used to protect from damage and poor handling when you ship goods back to us. Return postage costs are to be covered by the customer unless stated otherwise. 


9. Orders Damaged In Transit
All deliveries must be inspected for visible damage prior to acceptance. Any damage must be noted on the documentation held by the Carrier. All deliveries should be unpacked as soon as possible, and any concealed damage must be reported with 24 hours of delivery. Notify the Company immediately to ensure any damage is confirmed, and arrangements to rectify the problem will be made. Photos will be required.


10. Installation
The Company installs most of its products unless specifically stated. Installation where available will be shown as included in the price. Buyers are advised to acquaint themselves with the manufacturers requirements for the supply of water, electricity, gas/LPG, and product spacing, to ensure the goods are correctly installed, and the warranty is not invalidated. Installation must only be carried out by properly qualified personnel. Once installed, goods cannot be refused or returned and the warranty shall start from this date. Annual routine servicing is required for cellar cooling and air conditioning to maintain any extended warranty. 


If any site conditions exist that would cost us time, i.e. Induction or waiting for other contractors, this will be charged at £60 +VAT per hour per engineer onsite. Equipment installation is discussed on arrival so if you have preferences on this BE THERE or make it 100% clear to our point of contact. Once installed, this can be moved or changed but at additional hourly rate of £60+ VAT/ph. Potential material costs are to be charged on top. All additional costs are due immediately by cash, card (subject to service charge) or BACS.


Inability to carry out installation or any other work due to site not being made ready and available to us, this includes access as arranged, we will charge for a revisit on another date arranged after cleared payment of £190+VAT to cover revisit costs. If you cancel the order at this point deductions will be made for lost time, expenses & re stocking charge on equipment from any money already paid.


All installation details (pipe run, power, drainage, unit location, issues, potential ideas, recommendations & relocations) are discussed on arrival and are not altered after installation. 


Power supply's are specified in your quote. These should be within 1 metre of the specified unit location. It is your responsibility to have that in place at the correct unit location for us to wire into on the day otherwise the system will be tested (if possible) on a plug before being cut off and a power cable being left for your electrician to wire up the power.

Often existing power supply can be used but if not up to standard, correct size or unsafe then we will not use them and advise as needed.

If theres is no power available for testing, a return visit may be necessary to commission the system at an additional call out charge when we are next available (£190+VAT).


Drainage is required on nearly every system. For gravity drains these should terminate within 3 meters from the unit. Otherwise a pump will be fitted at an additional cost. If the drain route goes upwards at any point a pump will be required.


Quotes are based on the information you provide. Large deviations from the information you give, like pipe run length, will incur additional costs due immediately before work is carried out.


Parking must be made available to our engineers on the day, if not available immediately at the site, location details of closest parking for a large van must be made clear to us. Cold rooms require parking close to site for a large van with a large trailer for the duration of the install. Parking tickets received by us for failing to obtain a permit will be passed along for reimbursement.


Work not paid for immediately on site and done on grace is expected to be paid for within 24hrs. After which any guarantee and warranty is void due to non payment and no returns will be made to site (unless to remove unpaid for goods) until balance is cleared.


If issues arise after installation we will attend as a warranty call back at no charge to rectify any problems. If no issues are found with our system or work, then a call out charge is due immediately (£190+VAT) this includes environmental conditions that are having an effect on the system running and temperature read out. The site conditions including air leakage, poor insulation etc are your responsibility to have up to standard so as not to negatively effect the system.


(we've had hot air pulled in through holes near the unit that weren't sealed giving false readings and radiators heating the wall up from the other side giving false readings. on all occasions the room was below target temp because of over running and the read out was high temperature because of other factors!)


11. Cancellation
Buyers who need to cancel an order must notify the Company as soon as possible. The Buyer shall be responsible for all shipping costs on orders that have been shipped prior to cancellation, or that are refused at the time of delivery. The Company reserves the right to charge a restocking fee on all cancellations of 15% plus a cancellation charge. Any pending delivery p&p must also be paid for. Installed items cannot be cancelled. Items ordered for a job often cannot be cancelled and the full price invoiced costs remains valid. In any event, cancellations or variations to the agreed contract will be at the buyers expense if within 14 days of the agreed installation date.


12. Warranty
All goods supplied by the Company carry the manufacturers warranty, and it is the responsibility of the Buyer to register the warranty and ensure that it is not invalidated in any way where applicable.

Qualitair Cooling equipment supplied and installed by ourselves come with a standard 12months and is extended up to 5 years on the condition that an annual service is carried out by Qualitair Cooling Ltd. Cold room systems come with a standard 12 months and is extended up to 3 years on the same conditions.

Warranty includes parts and labour. 

Supply of Qualitair equipment to qualified engineers come with a standard 12 months but can be extended up to 3 years subject to proof of an annual service being carried out.


13. Liability
The Company accepts no liability arising from or contributed to, by the installation of products by the Buyer or the Buyer’s contractors. Consequential loss is not our liability and you should have adequate insurance to cover this if necessary.


14. Tax
All prices shown on the Company website and in it’s literature are subject to UK Value Added Tax.


15. Disclaimer

16. Photos 

We sometimes take photos of work carried out for promotion and proof of work, some will be used on social media and our website, we will not take photos of sensitive information or people. If you object to this please inform us when placing an order
